Kavi® Groups 4.4 Release Notes

What is Kavi Groups?

Kavi Groups is the centerpiece of Kavi Workspace: the first software application developed specifically to support the collaborative, team-based processes of standards organizations. Each committee or workgroup within your organization gets its own all-inclusive Group Home, complete with mailing list, calendar, document repository, roster and everything that the group needs to function efficiently.

General permissions and sharing rules are configured globally, but can be overridden at the group level as necessary to keep group interactions in harmony with the organization's bylaws and business processes. Fine-grained access control gives every Kavi Workspace user a personalized window into the organization, viewing just the groups, activities and information that each participant is authorized to see.

Kavi Groups facilitates high-level organizational processes such as calendaring, meeting attendance and balloting, meticulously logging all these activities. It relieves organization leaders, administrators and members from the need to manage tedious minutiae, releasing time and energy that is better spent on fulfillment of organizational goals.

On Kavi Workspace Enterprise installations, Comment Tracker can be enabled for exacting support and comprehensive logging of comment collection and resolution processes.

Kavi Groups 4.4 Overview

Kavi Groups 4.4 is a minor release that includes a customer-driven redesign of the structured zip download, some foundational work for features scheduled to roll out in the next version of Kavi Workspace, plus improvements that benefit groups where document auto-naming or approval ballots are in use.

Structured Zip Download

This is a stronger, sleeker reworking of earlier versions of this tool.

  • On the My Documents page, the structured zip preserves group and folder hierarchy when downloading documents.
  • Use the search functionality to retrieve a specific set of documents from among all that are available to you, then click to select all, or pick just those documents you want to include in your downloaded folders. When you're ready, click the Download Zip button, and the downloaded zip folder is installed as neatly structured folders in the local directory of your choice.
  • Each folder name in the download is appended with the unique number assigned to this folder in Kavi Groups. This is necessary to avoid namespace collisions.

Document Descriptions

Organizations that use document auto-naming will like the new "Enable inline descriptions in Group Documents List" feature, which displays the description of the document inline with the document name and other details on the group Documents tab. This feature must be enabled by a Kavian with manager privileges.

  • The Description column is sortable.
  • If the description is long, a truncated version is displayed inline. The full description is displayed when you view the document details.
  • Click the 'Show Descriptions' link, which is next to Show Archives on the Group Documents tab, to view document descriptions. Once clicked, this link changes to 'Hide Descriptions' so you can toggle this display.

Approval Ballot Changes

The Automatically Manage Voters feature updates the voter list as users join or leave a group during the time that the ballot is open, which is generally contraindicated for approval ballots, so this option now defaults to 'No' on approval ballots.

On the off-chance that your organization wants new voters automatically added for an open approval ballot, a Ballot Manager can enable this through the Modify Ballot tool.

OpenSearch

Kavi Groups has added a foundation for OpenSearch support, and the first implementation of OpenSearch on a customer site is currently in development. Each OpenSearch implementation will be customer-specific and based on highly detailed customer requirements. Please contact your Account Manager if you're interested in learning more about an OpenSearch implementation for your organization.

Other Fixes

  • Group Charter, which is usually visible to those who are not yet members of a group but might want to join, now includes a link to send an email to the chair mailing list to facilitate join requests. This is especially useful when the group chair and manager email addresses are not present on any of the visitor-accessible pages.
  • Added an option to disable the display of group and chair email addresses for a group.
  • Username matching added to search functionality on the Explore Usage by Company or Person report.
  • Meting attendance report now handles company name changes gracefully.
  • Fixed embedded function issue that prevented users with Kavi Edit access from using the WYSIWYG editor in Kavi Groups.
